Privacy Policy

This Privacy Policy describes how coordinate.studio (“we,” “us”) collects, uses, and protects information in connection with the Nate Settings Platform (the “Service”), the web application roofing contractors use to configure their Nate AI admin agent.
Who we are
coordinate.studio builds and operates Nate, an AI admin agent for roofing contractors. We provide the Service to roofing companies (“Customers”) and their authorized team members. Customer accounts are created and managed by coordinate.studio; users do not self-register.
Information we collect
Account information. Name, email address, phone number, role, and company affiliation. We authenticate users by email one-time code; we do not store passwords for normal accounts.
Configuration data. The settings a Customer enters to configure Nate — company identity, pipeline stages, pricing, communication templates, insurance preferences, and uploaded documents.
Connected service data. When a Customer connects a third-party tool, we store the credentials and the data needed to provide the integration. This includes Google Calendar (read-only), and may include QuickBooks, payment, e-signature, and CRM connections.
Usage data. Basic product analytics (pages visited, actions taken) to operate and improve the Service.
How we use information
We use information solely to provide and improve the Service: to authenticate users, generate Nate's configuration, surface a Customer's schedule and operational data, send transactional messages, and provide support. We do not sell personal information, and we do not use it for advertising.
Google user data
With a Customer's explicit authorization, the Service requests read-only access to Google Calendar (https://www.googleapis.com/auth/calendar.readonly). We use this access only to read the specific calendar the Customer selects, so that Nate can display upcoming appointments and inspections to the Customer within the Service. We do not modify, delete, or create calendar events, and we do not share calendar data with any third party except as required to provide this feature.
Limited Use disclosure
Nate's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not use Google user data for serving advertisements, we do not sell Google user data, we do not transfer it to others except as necessary to provide or improve the Service (or for security or legal reasons), and humans do not read this data unless we have the Customer's consent for specific support, for security purposes, to comply with applicable law, or where the data is aggregated and anonymized.
How we store and protect data
Service data is stored in our backend provider (Convex) in the United States. OAuth tokens and integration credentials are stored server-side and are never exposed to the browser. Access to production data is restricted to authorized coordinate.studio personnel.
Service providers
We rely on a small set of subprocessors to operate the Service: Convex (backend and data storage), Vercel (hosting), Twilio (telephony and SMS), Resend (transactional email), Anthropic (AI processing for Nate's responses), and PostHog (product analytics). Each processes data only to provide its function to us.
Data retention and revocation
We retain data for as long as a Customer account is active. A Customer may disconnect any integration at any time from the Integrations screen, which deletes the stored credentials for that service. Customers may also revoke the Service's access to their Google account at myaccount.google.com/permissions. To request deletion of your account data, contact us at the address below.
Children's privacy
The Service is a business tool not directed to children and is not intended for use by anyone under 18.
Changes to this policy
We may update this Policy from time to time. Material changes will be reflected by updating the effective date above.
